Acceptable Use Policy
This policy protects patients, your practice and OakStone. It applies to everyone who uses the service and forms part of your agreement with us.

Messaging must be lawful and wanted
- Use the service only to communicate with your own patients about their care and appointments, on a lawful basis, in line with UK GDPR and PECR.
- Approve templates before first use and keep messaging within the agreed types, tone and volume caps.
- Honour every opt-out. The suppression list operates from the first message and STOP requests are permanent.
- Do not use the service for unsolicited marketing to non-patients, purchased lists, or any recipient who has not lawfully come to be your patient.
Prohibited uses
- Sending unlawful, misleading, harassing, discriminatory or harmful content.
- Attempting to send clinical advice, diagnoses or results through automated messaging.
- Routing special-category data into the system beyond the minimised operational fields the service is designed for.
- Impersonating another practice or person, or misrepresenting who a message is from.
- Probing or attempting to breach the security of the service, or circumventing the safety gates (circuit breaker, suppression, volume governor).
- Reselling or providing the service to a third party without our written agreement.
Fair use
Messaging volumes should reflect genuine patient-communication needs. We may apply reasonable caps and will discuss any sustained volume well above normal patterns.
Enforcement
If use breaches this policy we may suspend affected messaging to protect patients and the service, and will contact you to resolve it. Serious or repeated breaches may lead to termination under your agreement. Your practice manager's kill-switch remains available to you at all times.
